Best practice for communicating with foreign partners during the New Year holidays and after

The long winter holidays are coming. Many IT companies have already announced a freeze mode - freezing new activities until the end of the holidays. The pause will be especially long for those who cooperate with European partners - they go on vacation already in the 20th of December, and the Russian offices will open after the holidays only 3 weeks later.

In this article I will tell you how to make sure that partners do not lose you during this time, but at the same time do not pull over trifles. And I will also share the specific speech patterns that you will need when you go out to the office and start raking things up.

mail

The first thing to do when going on vacation is to put in the mail a skip about your availability during the holidays. Traditionally, they indicate the preferred communication format, who can be contacted other than you, and the date of return to normal operation.

Here is the finished formulation:

I will be out of office with limited access to my mail till January, 11, 2021. For urgent matters please call my mobile or contact Suzy via email suzy@colleague.com

Option 2:

Please note that January, 1-10 are official days off in Russia due to New Year and Christmas celebration. During holidays I will have limited access to my mail and will reply upon return. In case of urgent matters please call my mobile.

Messengers

Also set the appropriate status in messengers where you communicate with partners. Write succinctly:

OOO till January, 11, 2021.

(OOO means out of office)

After leaving the holidays

The blockage in the mail is inevitable. A great phrase to start letters to partners with after a long silence is:

Sorry for the radio silence!

Radio silence in our context is a period during which nothing was heard from a person who usually answered in a timely manner.

This is how you can explain where you disappeared:

  • Hi Jane, sorry for keeping silence for some time. Our team has been on NY holidays till today.

  • Hi Robert, we are finally back to office after NY vacations.

  • Dear Linda, I am sorry for getting back to you late. I was out of office due to the state New Year holidays.
